Set Up Days and Times
Your contracted days for set up are Tuesday, Sept. 2 and Wednesday, Sept 3. If you require extra set-up time, please contact Richard Beers at (702) 255-2837 to arrange clearance.
We are hoping to have all freight moved into the building on Sunday, August 31, finishing up Monday, Sept 1. All freight should be sitting in your Exhibit Room no later than Monday evening.
Keep in mind: The Denver Athletic Club is not a convention area. It is a highly prestigious private organization and members will be present in various rooms throughout the Club while we are moving freight and attempting to build exhibits. Please keep this in mind and in consideration of our surroundings try no to block hallways, inconvenience the members or staff members of the Club, or to make excessive noise. They are a private contractor of T.H.E. SHOW but you are solely responsible for settling your account with them.
The following is their price structure for freight (before you ask, it is less than CEDIA's pricing):
Minimum: $100.00
Under 1000 lbs: $45.00 per CWT
1000 lbs: $40.00 per CWT
2000 lbs: $39.00 per CWT
3000 lbs: $37.00 per CWT
AIT's primary function is to accept your freight at their designated warehouse location, assist you with shipping logistics, move your freight into your display room, remove and store crates during convention, return crates after T.H.E. Show closes, remove your packaged freight from your Exhibit Room and arrange for (at your direction) shipping to the locale of your choosing. Please remember to fully insure your equipment from the time it leaves your business until the time it returns.
Once again, freight can be moved into the DAC independently, however, you must make arrangements with Richard Beers, President of T.H.E. Show, prior to performing any large and potentially disruptive freight moves.

Dimensions: 8 FOOT HIGH – comes in 10 ft panels @ $30 per panel. (This amounts to $3 per linear foot). This is NOT heavy or velveteen drapery, however, so plan on "bunching" it ...for an estimated $5 - $6 per linear foot. (It isn't the sheer "banjo" drapery either). There may be an additional $50 Delivery fee per order.

Room Signs and Badges
Also, when sending in the above information, please give us the names of all people "working" your Exhibit Space; their title and with which company they are associated.
As far as room signs: we need you to indicate which company is the Primary Room Holder (which will be at the top of the sign) and any "Sharing" companies (which will be listed underneath the primary exhibitor).
Please make sure we have all of the required information for the Brochures; Room Signs and Badges no later than August 15.
Catering and Restaurants
There are more than a few choices within the Denver Athletic Club. A lunch buffet will be served the first three days of T.H.E. Show Denver in the Members Dining Area outside of the Tavern on the second floor. We will be giving you tickets to enjoy this lunch as our way of saying Thank You to exhibitors and some of their guests. We will come to each exhibit and distribute these tickets individually in the morning.
The Tavern is also open for business every day beginning around 11AM, serving lunches; dinners and drinks.
For sandwiches, take-out and light fare, there is a coffee / sandwich shop in the Racquetball area in the south building.
There are several cozy spots within the DAC for private meetings and/or catered parties. Please contact Richard Beers at 702-255-2837 and he will fill you in on the options available and get you in touch with the proper people. Do not contact the Athletic Club directly as this will cause staff confusion and may end up in your actually paying higher prices than necessary!
There is also available an enormous and quite luxurious BallRoom and very large Sundeck on the roof of the DAC (overlooking the Denver Convention Center) that is available for parties, etc. Once again, if you or any interested company would be interested in leasing these spaces, please contact Richard Beers at 702-255-2837 well in advance of the convention.
Hotel Accommodations
Unfortunately, CEDIA already has very large housing blocks at most of the major hotels in the downtown Denver area. You can try booking through CEDIA or contacting each hotel separately. We do have one recommendation, however it includes a bit of a drive. The hotels in the Denver Tech Center area (approximately 13 miles southeast of downtown) are nice, offer reasonable rates during this huge convention and are about a twenty minute drive. If you are booking through any independent source, take a look at the area in Englewood, CO or the Denver Tech Center area. (This is where the Rocky Mountain Audio Fest is held later in the Fall.)

Although we have no formal booking code, you can tell them you are with T.H.E. Show. There are already Exhibitors booked there. The accommodations are much like any Residence Inn, with King Suites; One Bedroom Suites w/ Living Room and Deluxe One Bedrooms (larger living area). Some of these configurations can be adjoined. The Hampton Inn has complimentary Continental Breakfast and Happy Hour daily. It is in the heart of light industrial, office buildings and many, many choices of restaurants, bars, eateries, etc.

Parking at the DAC
There is a reduced rate of $7 per car on weekdays and $12 on Saturday and Sunday if the driver specifies (s)he is an exhibitor at T.H.E. Show.
Cancellation by Exhibitor
Cancellations must be received in writing.
Refunds may be processed, utilizing the following time tables of any given calendar year to which existing contract(s) applies:
Penalties:
33.3% of the total exhibit space cost if the cancellation is made on or before May 30th 66.6% if between June 1 and July 31st 100% if after August 1st.
Refunds processed within 30 days of valid refund request and acceptance thereof.
Closing time on Sunday Sept. 7
Final Note: The CEDIA Conventions is scheduled to close at 3pm. The Show closes at 4pm. There may be an increase in traffic at The Show after 3pm. Our 4pm closing time is not firm. If you still have clients visiting at this time we will do everything possible to accommodate as circumstances warrant.
